Grey columns are yours; yellow columns are the supplier's. Above the table: your details and reply date, and the supplier's quote reference, validity, Incoterms, payment terms and freight.

What's inside
- Your request
- Company, contact, RFQ number, issue and reply dates, delivery address, Incoterms and currency.
- Your lines
- Item code, manufacturer, manufacturer part number, description, quantity and unit — up to 50.
- The supplier's answer per line
- Their part number, unit price and price basis (per 1, 100 or 1,000), currency, pack, minimum order, order multiple, two more price breaks, lead time, alternative, no bid, notes.
- The supplier's terms
- Quote reference, validity, Incoterms offered, payment terms, freight per order and free-freight threshold.
- Checks
- Dropdowns for price basis, Incoterms and no bid; numbers must be 0 or more; line totals at your quantity.
- Instructions
- A short sheet for you and one for the supplier, and how to move answers into the quote comparison template.
How to use it
- Fill in the grey cells and replace the example lines.
- Save one copy per supplier and send it; ask for it back as Excel, not PDF.
- Compare the answers on landed cost per unit you need — with the free quote comparison template.
Good to know
- No macros, no hidden sheets, no protection: you and the supplier can adjust it.
- A price per 100 or per 1,000 has its own column, so it is not mistaken for a unit price.
- The example lines are fictional.
